How do I add a user to multiple companies?

Add a user to an additional company in Atlas — the platform handles multi-company setup automatically.

Written by Hayley Jones

You don't need to do anything differently to create a multi-company user. When you add a new user, Atlas automatically checks the email address and sets up multi-company access if needed.

To add a user:

  1. Navigate to the Users screen and click Add a User.

  2. Enter the user's first name, last name, email address, and profiles.

  3. Click Save.

Atlas checks the email address automatically:

What Atlas finds

What happens

Email is new to Atlas

User is created as a single-company user and receives a standard welcome email to set their password

Email exists in another company

User is created as a multi-company user and receives a confirmation email — no new password needed

Email already exists in the same company

An Email Already in Use error is shown

💡 Tip: If an Email Already in Use error appears, use a different email address or locate the existing user record.

📝 Note: Multi-company access can only be set up when adding a new user. You cannot convert an existing single-company user into a multi-company user by editing their email address.

Editing a multi-company user:

You can edit a multi-company user's first name, last name, and profile assignments at any time.

The email address field is locked for multi-company users and cannot be changed through the admin interface. If you need to update a multi-company user's email address, please contact us via chat or contact us via email.
