How do i change employee/worker settings?

Use this guide to set your company’s default preferences for managing holidays and HR settings in Atlas. These settings apply to all new employees you add, but you can change them for individuals at any time.

Accessing Employee/Worker Settings

  • Go to: Employees/Workers > Employee/Worker Settings in the Atlas portal.

Key Settings You Can Adjust

Holiday Management

  • Default Holiday Unit
    Set whether employees request holidays in days or hours.

  • Holiday Entitlement
    Define the standard holiday allowance for all employees (excluding bank holidays).

  • Resubmit Limit
    Choose how many times an employee can re-request a holiday for the same day after it’s been declined.

  • Escalation Limit
    Set how many management levels a holiday request can escalate to if the line manager is unavailable.

  • Days Per Week
    Enter the average number of days per week your employees work.

  • Exclude Lunch Duration (in hours)
    Decide if lunch breaks should be deducted from holidays and absences requested in hours. Set the standard lunch duration here.

  • Allow Holidays to Be Carried Forward
    Enable this to let employees carry unused holiday into the next year. Set the maximum amount, units (days/hours), and how long employees have to use carried-forward days.

Employee Permissions

  • Employee/Worker Can Add an Absence
    Allow employees to request absences.

  • Employee/Worker Can View Absence History
    Let employees see approved absences on the team calendar.

  • Employee/Worker Can Add a Holiday
    Allow employees to request holidays.

  • Employee Can Request Excess Holidays
    Permit employees to request more holidays than their entitlement.

  • Allow Employee Holiday Requests Only in Default Units
    Restrict employees to requesting holidays only in their default unit (days or hours).

Personal Data Visibility

  • Show Gender Field
    Decide if gender is visible to users with access to employee records.

  • Show Nationality Field
    Decide if nationality is visible to users with access to employee records.

  • Show Ethnicity Field
    Decide if ethnicity is visible to users with access to employee records.

Data Retention

  • Leaver Information Retention Period
    Set how long to keep records for employees who have left. After this period, Atlas deletes all data and documents for the leaver.

    Recommended: At least 6 years to stay GDPR compliant.

Time Off in Lieu (TOIL)

  • Enable TOIL
    Allow managers to record and manage Time Off in Lieu.

  • Employee Can Request TOIL
    Let employees view accrued TOIL and submit TOIL requests for approval.

Note: If you are a Health and Safety only client, some options may not be available in your settings.
