Atlas uses notifications to alert users of important actions required on their account. These in-system notifications are also followed up with an email for added visibility. Below is a summary of the different notifications you may receive in Atlas:
Holidays/Absences:
Managers are notified about employee absences and holidays primarily through the Atlas dashboard. Notifications are designed to ensure visibility into team schedules without relying on email alerts.
Self-Approved Absences:
When employees have permission to approve their own absences, the direct manager is notified through the team dashboard. Notifications for these absences do not appear as email alerts.
Holiday or TOIL Bookings:
Managers can view updates about holiday or TOIL bookings on their dashboard. Similar to self-approved absences, email notifications are not sent for these bookings.
Manager-Recorded Absences:
If a manager records an absence on behalf of an employee, no email notification is generated. Managers can monitor these entries through in-app reports.
Employee-Submitted Holiday Requests:
Email notifications are sent to managers assigned to the relevant department when an employee submits their own holiday request.
Training:
Employees are notified when they are invited to a training module.
Weekly reminders are sent if training remains incomplete, starting four weeks before the deadline. Weekly reminders are automated and cannot be disabled unless the underlying training assignment is addressed.
No notification is sent upon training completion, but Service Owners can track progress via the training matrix report. Notifications may persist for deactivated or archived employees if they have pending training assignments.
Managing Training Notifications
Deactivate User Accounts: If an employee no longer requires access to Atlas or its training notifications, deactivate their account. Once marked inactive, they will no longer receive training notifications or other system emails. Ensure this aligns with organizational policies. Unassign or Recall Training Courses: To stop notifications for specific training courses, navigate to the employee’s training assignments, click the three-dot Actions menu next to the relevant course, and select “Undo assign” or “Recall.” Once unassigned, all associated notifications will stop. Mark Training Tasks as Complete: Employees can mark training tasks as complete via the three-dot menu on the task. Weekly reminder emails will continue until the course is marked complete or recalled. Special Case for Archived/Deactivated Employees: If archived or deactivated employees are still receiving notifications, open their profile and unassign all remaining training courses to ensure no further notifications are generated.
Documents:
Employees are notified when a document is distributed to them.
Service Owners are not notified when documents are acknowledged, but can check this by running a distributed documents report.
Tasks:
When assigning a task, you can opt to send an email notification.
Employees receive weekly reminders for outstanding tasks.
Contact Details:
Service Owners are notified if an employee’s contact details are updated.
Probation Reviews:
Department Managers are notified before an employee’s probation period is due.
Incident Log:
The Health & Safety Service Owner is notified when an incident is logged.
Checklists:
Service Owners are notified when a checklist is completed.
