How to Access, Edit, and Manage Risk Assessments in Atlas

Managing risk assessments effectively is crucial for workplace safety. This guide provides comprehensive instructions on accessing, editing, and managing risk assessments in Atlas.

Accessing Risk Assessments

Pending Risk Assessments

Risk assessments created via Health & Safety > Risk Assessments appear in the Pending tab until they are approved.

Overdue Risk Assessments

If a risk assessment has passed review and is no longer accessible, it may appear in the Overdue tab. To regain access:

  1. Open the Overdue tab.

  2. Locate the relevant risk assessment.

  3. Click the Actions column and select the option to review it.

Missing Risk Assessments

If a risk assessment is not visible under Risk Assessments (including the Pending and Overdue tabs), it may have been uploaded to the H&S Document Suite instead. To locate it:

  1. Navigate to My Area > Documents > Company Documents > H&S Document Suite.

  2. Search for the document and move or re-upload it to the Risk Assessments section if necessary.

Additionally, following a system update, COSHH-related assessments (e.g., Diesel Fuel) now appear under Health & Safety > COSHH Assessments > Live. Use the search function to locate these assessments.

Editing and Updating Risk Assessments

Editing Approved Risk Assessments

Approved (Live) risk assessments cannot be directly updated. To make changes:

  1. Open the risk assessment and select the three dots (more options).

  2. Choose Copy to create a new version.

  3. Edit the new version as needed.

  4. Archive the old version after finalizing the new one.

Managing Updated Risk Assessments

Updated risk assessments appear under the Live list. The previous version also remains under Live until you archive it:

  1. Open the three-dot menu next to the old version.

  2. Select Archive to move it to the Archived section.

Managing Visibility and Configuration

Viewing Risk Assessments Across Sites

If you cannot see risk assessments and method statements from other sites, ensure that Site Groups is enabled:

  1. Go to Company > Site Groups.

  2. Enable Site Groups to view content across all sites in the group.

Locating Templates and Examples

To find risk assessment and DSE templates:

  • Navigate to My Area > Documents > Company Documents > Useful Documents and Templates for DSE, individual risk assessments, and workplace guides.

  • For example risk assessments (e.g., lone working), go to Health & Safety > Risk Assessments > Examples and use the search and filters to locate specific templates.

By following these steps, you can efficiently access, edit, and manage risk assessments in Atlas, ensuring compliance and workplace safety.
