Managing Holiday Carry-Over Settings and Resolving Issues in Atlas

Managing holiday carry-over settings involves configuring entitlements, permissions, and troubleshooting common issues. This guide provides an overview of key processes and solutions.

Overview of Holiday Carry-Over Settings

Holiday carry-over settings determine how unused holiday allowances are managed at the end of a holiday year. These settings can be applied at both the company-wide and individual employee levels.

Adjusting Holiday Entitlements and Carry-Over

Company-Wide Settings

To manage carry-over settings for all employees:

  1. Navigate to Employee Workers.

  2. Select Employee Work Settings.

  3. Adjust the carry-over settings, including any expiry rules, to apply them company-wide.

Individual Employee Settings

To customize carry-over settings for a specific employee:

  1. Go to Employee Workers.

  2. Open the employee’s profile (pink eye icon).

  3. Navigate to the Job section.

  4. Select Update to adjust the carry-over settings for that employee.

Disabling Holiday Carry-Over

To ensure no holidays are carried over to the next year:

  1. Open the Main Menu.

  2. Go to Employee Workers.

  3. Select Employee Worker Settings.

  4. Turn off the carry-over toggle.

Entering Carried-Over Holidays Correctly

To ensure accurate allowances after year-end:

  1. Set the employee’s Current Year Allowance to their standard annual entitlement.

  2. Add any carry-over days in the Carried Forward Holiday field. - Example: For an annual entitlement of 25 days and 5 carried-over days, set Current Year = 25 and Carried Forward = 5.

Permissions and Role Requirements

Missing Update Button

If the Update button is not visible in the Job section, it is likely due to insufficient user permissions. To resolve this:

  1. Contact an account administrator.

  2. Request an update to your permissions to enable editing in the Job section.

Greyed-Out "Carried Forward Holiday Units" Field

If the field is greyed out:

  1. Ensure you have sufficient permissions: - Go to Users → Actions → Edit HR. - Change your role from Employee Profile to Service Owner.

  2. Adjust the carry-over policy limit: - Navigate to Employees/Workers → Employee Settings. - Scroll to Maximum number of days for your carried forward and increase the limit. - Once the maximum allows the desired value, the field becomes editable.

Troubleshooting Common Issues

  • Update Button Missing: Check user permissions and request updates if necessary.

  • Greyed-Out Fields: Verify permissions and adjust policy limits as needed.
