How do I approve or decline a holiday request?

Managing your holiday requests in Atlas

You can approve or decline holiday requests for your team directly in Atlas. Here’s how to manage these requests quickly and accurately.


How You Get Notified

  • When an employee submits a holiday request, you receive an email and a task in Atlas.

  • To check who manages an employee, look at your department structure in Atlas. The manager is listed in the centre of the department box.

  • Delegated users will also be notified. The first person to act on the request will be recorded as the accepting or declining user.- The escalation limit setting in Atlas does not affect who receives email notifications about holiday requests. Only the employee’s direct line manager is notified by email. However, managers higher up in the department structure can view and oversee these requests in their "Team Time Off" area, even though they do not receive email notifications.- If a delegated approver encounters a blank screen when clicking a holiday approval link, it is likely due to insufficient permissions. For example, if the approver’s user role is set to "Employee," they may not have access to the holiday approval page. To resolve this, update the approver’s profile to "Manager" and have them try the link again.- When a delegated approver is set up for a manager, both the manager and the delegated approver receive the holiday request simultaneously. Either party can act on the request, and the request remains in a pending status until one of them approves or declines it. There is no automatic time-based escalation to a more senior manager.


Ways to Approve or Decline a Holiday Request

1. Review All Pending Requests

  • Go to:

    Dashboard > Review Requests > Actions > Amend/Approve or Decline

  • Here, you see all holiday requests waiting for your action.

2. Review Requests by Employee

  • Go to:

    Employees/Workers > Manage > Employee View > Holidays and Absences > Actions > Amend/Approve or Decline

  • Here, you see all holiday requests submitted by a specific employee.


Adding a Reason for Declining

  • When you decline a request, you can enter a reason to explain your decision.


What Happens After You Act?

  • Once you approve or decline, Atlas automatically emails the employee with the outcome.

  • If you decline, Atlas returns the requested days to the employee’s annual entitlement, so they can request them again later.- If neither the manager nor the delegated approver takes action on a holiday request, it will remain in a pending status indefinitely. Atlas does not automatically escalate the request after a set timeframe.
