How to Manage Distributed HR Documents: Removal and Recall
Managing distributed HR documents effectively is crucial for ensuring proper access and compliance. This guide explains how to handle distributed documents, including removing them from their original storage location and recalling them from specific employees.
Overview of Document Distribution
When a document is distributed to employees, a copy is sent to each employee’s Shared Documents folder. This ensures that employees retain access to the document even if it is removed from its original storage location.
Removing Documents Post-Distribution
After distributing a document, you can safely remove it from its initial storage location. If needed, you can re-upload or store the document within the designated documents area for future reference. Since employees already have a copy in their Shared Documents folder, their access will not be affected.
Recalling Distributed Documents
There are two methods to recall a distributed document from specific employees:
Method 1: Using the Distributed Documents Report
Navigate to the reporting section of the application.
Access the Distributed Documents report (typically found under Reporting → New Reports → Documents).
Locate the document and the specific employee entry.
Use the "Recall" option to remove the document from the selected employee(s). This action will not affect other employees who have received the document.
Method 2: Using Distribution History
Open the original document in the application.
Access the Distribution History section.
Select the specific recipient(s) and recall the document directly from this interface.
Tips and Best Practices
Always verify the list of recipients before distributing a document to minimize the need for recalls.
Use the reporting tools to monitor document distribution and ensure compliance.
Regularly update and organize the documents area to maintain a clear and accessible repository.
By following these steps and best practices, you can efficiently manage distributed HR documents, ensuring proper access and control.
